How to guide: Goals Management on Zoho People

The Performance Appraisal process includes several tasks that must be completed within the Zoho People platform. Here you will find step-by-step instructions on how to do it easily as part of the annual staff performance cycle.
☝️  The first thing to remember is that, to make the review process effective, you should start with an honest and objective reflection on the goals you set for the period.
☝️  Record all actions, progress, challenges and results for each of your goals, and add any relevant evidence that supports your assessment and helps your reporting lines understand your perspective.
☝️  Follow the steps below in the system to ensure your self-assessment is properly recorded:

 

How can I see my Goals Status?

As a first step, it is very important to ensure all your goals for the given Appraisal Cycle is fully approved before you begin the Self Appraisal process.

Here are the steps you can perform to check the status of your Goals using Zoho People.

  1. You log into Zoho People (Home)
  2. You go to Performance -> Goals. The default view shows you only goals that are “In Progress”. To filter and list ALL goals for the given Appraisal Cycle, please go to Step 3.Centre aligned type goes here.png
  1. Click on the filter icon on the right side of the screen. A new window will slide out from the right.
    • Select  In-progress in Goals Status
    • Mark  Set By Default 
    • Click on the Apply button.

Note: If you marked a goal as 100% complete during the period, it will not appear in this list. To include completed goals, use the filter, choose All, and set the date range to the evaluation period.

  1. The list will update to show you ALL goals for the specified period, indicating their approval status as Approval or Pending.  You can review all pending goals to see their current status in the approval workflow, as shown in step 5.

Note: It may be the case that one of your goals has been Rejected by your line manager. In this case, it will be identified with this word.

  1. Click on a Pending Goal. You will now see the details of the goal you have submitted. To know where in the approval workflow is the goal at currently, click on the blue View button. A new window will slide out from the right showing you, where is the Goal at in the approval workflow.

    Note: If you have goals pending approval, contact your approval workflow members (reporting lines). Remember that you can't self-assess goals if they haven't been approved.

How can I archive my Goals?

Keep in mind that a new goal-setting process is carried out each year, so goals from previous years must be archived. Only if, in your last goal-setting process, you agreed with your line manager to maintain goals from previous years, must their dates be updated so they are valid for this period.

This step is important because unarchived goals will appear in your performance review as overdue goals with dates from previous periods.

Here are the steps you can take to archive your goal(s). It is important to note that archiving is only possible for approved goals. Unapproved goals cannot be archived.

  1. You log into Zoho People (Home)
  2. You go to Performance -> Goals. The default view shows you only goals that are “In Progress”.
  3. Click on the filter icon and select all goals. For more details on step, please refer to the document “How can I see my Goals Status?”.
  4. Click on the goal and click on three points and select Archive
  5. You will see a new pop-up window confirming your action. Click on the “Confirm” button
  6. The archived Goal is now placed in the “Archived List”.

  7. Repeat the steps above for any other goal you wish to archive.

How can I update my goals?

Keeping your goals up to date is an ongoing task that you should do regularly to record your progress, it’s a good practice and part of being accountable.

For the Annual Performance Review, updating your goals in the system is the first step before your 1:1 with your line manager. Follow the steps below to update your goals progress easily and check the tips to create a quality self-assessment that accurately reflects your achievements
  1. You log into Zoho People
  2. You go to Performance -> Goals.  Centre aligned type goes here.png
  3. Select a goal and click on the three dots to open the menu, then click Edit. A new window will open with your goal information. Record your goal progress to date, on a scale of 0 to 100. Click on submit to save the changes.Centre aligned type goes here-6.png
  4. In the same goal, click comments to add all relevant information that explains your progress so far. You can attach images, links, or any other evidence related to the goal. Click on Post to save the comment.
    Note: These comments will be visible to your line manager and will form part of your appraisal. Any comments you add throughout the year will remain in the goal’s review history and will serve as evidence of progress for your self-review and goal reporting.Centre aligned type goes here-7.png
  5. Repeat the process with all your goals


Additional changes
If needed, you can edit the goal title, start and end dates, and the goal description. To do this, follow the same steps described in Step 3.
Note: Please note that certain changes may re-trigger the approval workflow and your line manager will be notified to review and approve the update.

  • Changes to the “Goal Name”, “Due Date”, “Priority”, and “Description” fields will re-trigger the approval process.
  • Changes or updates made to the fields “Start Date”, “Progress”, “Jobs” & “Comments” will not retrigger an approval process.
