How to guide: Staff appraisals on Zoho People

Below is a how to guide with screenshots and tutorial videos on how to conduct the various stages of the staff appraisal process on Zoho People as part of the annual staff performance.

How can I see my Goals Status?

Employees can view the status of their Goals in Zoho People. It is very important to ensure all your goals for the given Appraisal Cycle is fully approved before you begin the Self Appraisal process.

 

 

Here are the steps you can perform to evaluate the status of your Goals using Zoho People.

  1. You log into Zoho People
  2. You go to Performance -> Goals. The default view shows you only goals that are “In Progress”. To filter and list ALL goals for the given Appraisal Cycle, please go to Step 3.

  1. Click on the funnel icon on the right side of the screen. A new window will slide out from the right. Ensure you use the following parameters. Click on the blue Search button.

Status : All

From: Enter the start date of the current appraisal cycle (e.g. 1/10/2020)

To: Enter the end date of the current appraisal cycle (e.g. 30/09/2021)

  1. The list will refresh to show you ALL goals for the given period. Goals that has the “thumbs up” icon indicate they are Approved. Goals with the “hourglass” icon indicate they are still pending approval. Please see the screenshot below. For all goals that are pending, you can review them to see where is the goal currently at in the approval workflow. To do this, please jump ahead to step 5.

  1. Click on a Pending Goal. You will now see the details of the goal you have submitted. To know where in the approval workflow is the Goal at currently, click on the blue “View” button next to the word ApprovalPending. A new window will slide out from the right showing you, where is the Goal at in the approval workflow.

  1. You can choose to trigger a reminder to the approving party via the “Send Follow-up Email” function.

How do I update my goals?

Employees must ensure all their goals are updated with a progress status prior to beginning the Self Appraisal process.

 

There are the steps an Employee will need to perform in order to update their Goals progress.

  1. You log into Zoho People
  2. You go to Performance -> Goals.

  1. You select a goal, click on the menu option for the goal (far right), then chooses EDIT This will allow you to update the goal progress.

  1. You should also provide a comment for each of the goals you have for the review of your line manager during the mid-year appraisal cycle. The comment should summarize the overall progress of the goal.

  1. In the next screen, you must provide a progress score for the goal in the field “Progress”. Click on the “Submit” button to save the progress update.

[Important Note] Changes to the “Goal Name”, “Due Date”, “Priority”, and “Description” fields will re-trigger the approval process.

Changes or updates made to the fields “Start Date”, “Progress”, “Jobs” & “Commentswill not retrigger an approval process.

  1. Once you have clicked on the “Submit” button, the following pop-up dialog box will show. Please take note of the message in the dialog box. It explicitly states that the submission may trigger a re-approval of the goal. Re-approval is triggered when certain fields are updated. Please refer to the “ImportantNote” in point 5 to know which fields will trigger a re-approval of the goal.

  1. Repeat the steps 3 and 6 above to update the remaining goals.

 

Advisory for Staff Members:

When updating your Goals, please note that any changes made to the following fields will trigger the goal to be re-approved.

 

-       Goal Name

-       Goal Description

-       Goal Due Date

-       Goal Priority

Updates to the “Progress”, “Start Date”, “Jobs” & “Comments” fields will NOT trigger a re-approval of the Goal. As always, every time a change is made to the goal, you will receive the following notification dialog box. The dialog box provides explicit advisory that goals may undergo the approval process again, but only if any of the above fields are changed/updated.

 

If you have goals that require changes to the fields mentioned above, you can make the changes as needed. However, you should wait to have those goals approved before you begin the Self Appraisal.

Staff’s ability to review feedback:

After the Line Manager has completed the Review process, you can review the completed Appraisal process.

  1. You log into Zoho People.
  2. You go to Performance -> My Review -> Review History

  1. You click on the correct review cycle (you might see previous ones from previous appraisals)

  1. You are now able to see the review / progress status provided by the line manager

 

How do I archive my goals?

Employees who have Goals from previous years or those that are no longer relevant can opt to archive them. Archived goals do not show up in your active Goals list and are excluded from the Appraisal Cycle.

Here are the steps you can perform to archive your Goal(s). It is important to note that Archiving is only possible for Goals that have been approved. Unapproved Goals cannot be archived.

  1. You log into Zoho People
  2. You go to Performance -> My Review -> Goals. Here you will, by default, see a list of all Goals in Progress. To located the goals you have completed, filter the list to show All goals. For more details on step, please refer to the document “Employee: How can I see my Goals Status?”. Select the Goal then click on the Archive button at the top.

  1. You will see a new pop-up window confirming your action. Click on the “Confirm” button.

  1. The archived Goal is now placed in the “Archived List”.
  2. Repeat the steps above for any other goal you wish to archive.
